Questions Answers Your notes
Why are we required to do this?
Dot image Use of department budget codes is being phased out in favor of individual copier code
Dot image Print Management equipment will be installed and the individual counts from the copiers will be merged with the individual counts from the desktop printers
Dot image To eliminate "user errors" and 'down time' of machines

How do I get my code number? When you finish this training, your name will be sent to Mark and he will email you your code number via school email. Write it in several places. If you forget it, you must contact Mark Shaw at mshaw@eicc.edu to get your code number.
What if I don't have school email? See Kathleen Conway for the form for you to fill out to apply for school email. It is being required of all adjunct instructors beginning fall 06. 563-441-4178
How do I start?
Dot image Check paper supply, if you need to add paper, it is critical that the paper be fluffed and aligned perfectly as it is loaded. Almost 90% of the paper jams are caused by incorrectly or sloppily stacked paper. If you find it difficult to load paper neatly, it is better to just load 1 ream rather than multiple reams.
Dot image In addition, most downtime and/or damage to the copier machines result from improperly clearing paper jams. See the section: "What if the paper jams?"
Dot image Enter printer code, press enter
Dot image Put material to be copied face up in the feed tray OR on the glass face down

Dot image Both pages at same time

What is on the Output Format tab?
Transparencies
Dot image Can choose to put dividers in between your transparencies (Can choose either a blank divider or a divider with printing)

How do I make a transparency?
Dot image Get transparency from department coordinator
Dot image Put page to be copied face down on glass or topmost tray above the glass.
Dot image Put clear transparency sheet in tray 5. It must be in this tray because the machine uses a lower heat for transparencies; otherwise, the machine heat could melt the transparency.
Dot image Put transparency's white edge facing up (you can feel it) and in towards the machine
Dot image After putting the transparency in tray 5, a screen will display asking for confirmation in describing the type of material being loaded in the tray. Make sure the description is "Transparency" in order to reduce the amount of heat used in making this copy.
Dot image After you have transparency in tray 5 a screen about transparencies will appear
Dot image Select tray 5
Dot image Choose confirm
Dot image Choose save

Can I print on colored paper?
Dot image Yes, get it from your department coordinator or from the print shop.
Dot image Open tray 1!
Dot image Do not use tray 6! That tray should always be dedicated to white paper. Even with the best of intentions, colored paper loaded in tray 6 is many times forgotten about and the next person who uses the copier gets copies on colored paper instead of white. This often results in duplicate copies needing to be created.
Dot image Add colored paper to top of stack
Dot image Print
Dot image Remove extra colored sheets when finished

Can I use this machine to scan something to a computer in the adjunct work room?
Yes
Dot image Choose All Services.
Dot image Choose Network Scanning
Dot image Choose adjunct 1 for adjunct computer 1, nearest copy room door. Other computers are also connected, choose by computer number/staff member name
Dot image Choose Output Format
Dot image Choose Multi-page TIFF

Dot image Choose job status
Dot image Highlight your printing job when it appears in the screen
Dot image Choose delete
Dot image Choose confirm
Dot image Choose features to get back to main screen
Dot image Do this quickly

What if the paper jams? *!#!
Dot image Follow the prompt on the screen as to where the jam is located
Dot image Clear the paper IF it can be removed easily, without pulling or tearing the paper. If force is used to clear the jam (force being defined as enough force to tear the paper), it is likely damage can result resulting in copier downtime.
Dot image Turn a knob rather than trying to pull the paper out forcefully
Dot image Parts of the machine can be broken by rough clearing of jams!
Dot image If you need help ask a "key operator" to help
